Pioneers Streamlines the Donation Process, Achieving Same-Day Processing

The Background
Pioneers, a faith-based nonprofit organization, began its mission in 1979. The organization is dedicated to partnering with local churches, church planting, and missionary work in remote villages worldwide. Over three thousand missionaries serve communities in need while raising support for the non-profit to continue its mission. The Donor Services team processes all donor gifts, with the peak volume of donations arriving early in the week.
The Challenge
Before automating, Pioneers relied on manual processes for handling inbound mail containing donation checks. A team of nine to ten Donor Services employees scanned donation checks manually on a small desktop scanner, which took around three weeks to process before being deposited to the bank. Due to this manual process, tracking donor intent and correspondence for auditing became challenging.
A further challenge arose with Pioneers’ attempt to outsource donation processing through a lockbox system. Unfortunately, this solution struggled to handle Pioneers’ donor gifts, which included handwritten notes and requests. As a result, Donation Services was burdened with correcting errors from the lockbox provider and still had to process a significant portion of the donations manually.

The Solution
Marsha Stevens, Controller at Pioneers, drew on her previous experience with OPEX. She partnered with RT Lawrence (RTL) to implement the OPEX® Falcon+® RED™ scanner with integrated mail opening in Pioneers’ Donor Services department. The organization saw an immediate improvement in efficiency, with faster donation processing and the ability to archive both current and previous batches of donations and associated documentation. With the new scanning solution from OPEX and RTL, Pioneers was able to lower operating costs and reduce labor needs by 60% by eliminating the need to fill vacant positions. Now, the organization only requires four employees dedicated to Donor Services, down from the ten staff members previously needed.
Donor Services can now process between 600 and 800 checks daily, even during peak periods of volume. The department optimized its workflows, reducing backlog and processing donor gifts the same day they are received, compared to the previous three-week processing period. OPEX’s solution enables the department to maintain same-day processing and stay ahead. The department now deposits checks received in the morning by the afternoon, providing donors with a better, faster experience and improving their confidence. The Falcon+ RED scanner streamlines auditing processes, enabling Pioneers to provide required documentation within minutes rather than days.
Additionally, Donor Services now has two dedicated staff members managing the organization’s expense reporting. Donor Services staff are cross-trained to handle both donations and expense reporting using OPEX scanners. Missionaries in the field are now reimbursed within a few days of submitting their report.

Thanks to its new solution, Pioneers now handles donation processing more efficiently and at a lower cost. The shift to same-day processing, even during peak periods, ensures that donations are quickly deposited, enhancing the overall donor experience. Donors feel confident in the prompt processing of their contributions, building greater trust and satisfaction with Pioneers. Pioneers and its Donor Services team are also looking into using the Falcon+ RED scanner for archive scanning to capture historical documents.
