Konica Minolta’s Competitive Edge: Streamlining Document Workflows with OPEX® Technology

OPEX® FalconV+® Reduces Labor Costs by 66%, Accelerating Konica Minolta’s Workflow

The Background

Konica Minolta, a leading business process outsourcing (BPO) provider, specializes in document digitization and digital transformation for clients across healthcare, corporate, and government sectors. As an OPEX® partner, Konica Minolta is a reseller of OPEX scanning equipment, providing OPEX’s scanning solutions to other BPOs. It operates two OPEX FalconV+® scanners at its Warwick, RI facility for document digitization services.

The Challenge

Before automating with OPEX, Konica Minolta relied on a traditional prep and scan process. Two workers prepped documents, and a third scanned them using a high-volume production scanner. This process was very time-consuming and required extensive document prep, such as taping torn edges or manually cutting folders, which added complexity and delays.

Key Challenges

Labor and temp staff are expensive and difficult to find

Need to remain competitive with pricing and timelines when bidding for projects

Document prep was significantly manual and time-consuming

The Solution

At the 2022 IIMDA conference, Konica Minolta’s team discovered OPEX’s scanning solutions. Although Phil De Simone, IIM National Director of BPO Services at Konica Minolta, initially had reservations, he attended a live demo at OPEX’s Headquarters in NJ. The demo revealed how OPEX’s solution could drastically reduce prep time and speed up scanning. This impacted Konica Minolta’s pricing model, as prep work was previously included in project cost as a separate line item.

Despite the pricing model concerns, Konica Minolta and Phil De Simone saw the benefits and implemented two OPEX FalconV+ scanners at its Warwick, RI facility. The shift allowed the BPO to increase efficiency, reduce staff, and lower overhead. Tasks that previously required three workers, now only needed one, cutting labor costs while meeting critical SLAs. Staff prefer the OPEX scanners, finding them easier and faster than traditional methods.

With the new system, BPO Services now processes 200 standard 15” boxes monthly, scanning an average of five boxes per FalconV+ scanner daily. 80% of this work is directly out of the folder. OPEX’s ID Assist Tower option further boosts efficiency by allowing the user to quickly select the folder option. The folder can be scanned without cutting or taping, saving significant time. One project required scanning delicate 50-year-old HR files. Using the OPEX FalconV+ scanner, Konica Minolta BPO Services reduced prep and scanning time by 69%, down from 10 hours to 3.1 hours.
